This position is in Altoona VAMC's Associate Chief Nurse (ACN), Inpatient Service Line (SL) reporting to the ACN, Inpatient Service, at the Altoona VAMC. Provides administrative and clerical support to the ACN and Inpatient Service Line; to include the Medical Unit, Community Living Center, and Urgent Care Clinic. Receives assignments from the ACN, Inpatient Service or designee to ensure that the service mission is actualized.

The duties of this position are:

  • Serves as initial point of contact to resolve complaints and care issues across the continuum of care and coordinates the resolution of problems with the SL staff and managers.
  • ADPAC for the Service Line.
  • Assists, organizes, and coordinates all administrative and clinical functions and operations which require the input or action of the ACN, Inpatient Service.
  • Coordinates travel, appointments, meetings, and/or conferences as assigned for ACN, Inpatient Service as assigned. Complete travel requests for service chief.
  • Coordinates and organizes meeting agendas for service meetings.
  • Takes, transcribes, and distributes meeting minutes. Provides or tracks follow-up to recommendations/actions that result from meetings, including preparing summary reports for review by facility oversight committees.
  • Coordinate a task list for the SL and assist at task meeting to review upcoming action items, performance evaluations, and other time sensitive items.
  • Coordinate staff education to include preparing training course records, educational materials, tracking completion, orders supplies/special orders for the service.
  • Coordinate proficiencies/stay interviews and track to completion.
  • Assists with the formulation of service policies and procedures, directives, and any other unspecified assignments. Policies result from in-depth studies, specific recommendations coordinated committee reports and studies opinions and observations.
  • Prepares regular routine reports to the ACN, Inpatient Service. Collects data/information to support SL's recommendations concerning space, personnel, equipment, and fiscal matters.
  • Serves as Contracting Officers Representative, and can be approved as a purchase card holder, completing fiscal transactions in strict adherence with regulations.
  • Assists in ensuring timely completion of actions assigned by local, VISN, or VA Central offices for tracking or reporting.
  • Monitors and reports time and attendance for multiple areas of the SL. Maintains time and attendance for commonly used pay plans and types of leave, including limited special pay situations for providers, and situations covering complex scheduling required for 24/7coverage.
  • Performs other related duties as assigned.

Work Schedule: Monday-Friday, 7:30am-4:00pm

  • Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: using various computer systems in suggesting/developing necessary data bases or spreadsheets to aid in collection, retrieval and analysis of information; preparing reports, documents, and correspondence and maintain various service records; experience and expertise involving internal and external review processes; and dealing with operations, regulations, principles, and peculiarities of assigned programs.

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
